    About the role

    As an Executive Assistant to the CEO, you will act as a liaison between the CEO, the executive team, the board of directors, the company, and the outside world.  You are an organized, detailed collaborator that is able to efficiently multitask, prioritize appropriately, and drive projects through to completion, either directly or indirectly. 

    You are able to proactively communicate in both written and verbal form, in a fast-paced, growth-oriented environment. You will serve as both a "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff, maintaining credibility, trust, and support with the executive team. 

    You will create a tremendous amount of leverage for the CEO, working closely with the CEO to keep them well informed of upcoming commitments and responsibilities, ensuring follow-through, and proactively taking projects off their plate. 

    This role reports to the CEO, requires utmost professionalism, and will give you exposure across every department at the company. The successful candidate should expect a hybrid role, with days in our NYC Greenwich Village HQ to match that of the CEO for meetings and team collaboration. Covid-19 vaccination required. 

    Key Responsibilities:

     

    Manage the CEO and executive team’s calendars, including booking both internal and external meetings, managing attendees, and booking travel

    Prepare agendas, background information, and occasionally record notes and action items for both internal meetings and external appointments

    Properly store documentation in Dropbox, Notion, Asana, or other systems while making improvements for existing processes

    Act as a “right hand” to the CEO, assisting them with their daily routine, identifying areas of optimization, assistance, and taking on necessary tasks to create leverage in their day

    Occasionally communicate company-wide announcements and initiatives, on behalf of the executive team

    Coordinate and execute internal employee meetings & high-profile external events

     

    Common Candidate Qualifications:

     

    5+ years in an Executive Assistant or Personal Assistant role or other relevant experience, working for the C-suite of a startup or tech company

    Mastery of calendar management (experience with Google Calendar required)

    Clear communication skills (both spoken and written)

    Strong attention to detail

    Ability to drive multiple tasks through to completion, while communicating clearly, meeting expectations on timing, and maintaining a high level of accuracy
